Export to Excel

 

The Export to Excel command is used to export data from an RC-WinTrans translation project to a Microsoft Excel spreadsheet (file extension: .xls).  Access this command via the Export

toolbar button (shown right) or from the File or Project menus.

 

The Export to Excel page (called up after the Export to Excel command has been selected) displays the name of the project and the number of items selected for the export (see note below).  The name of the export file must be specified here.  The Export button (shown above) activates the Export Assistant to guide users through the process of selecting the target language(s) and setting the export options.

 

NOTE:  The items to be exported must be selected in the Text Table view before executing the Export command.  Select all the items in the Text Table view (CTRL+A key combination) if you want to export data for all items.

Export to Excel Page

The Export to Excel page, located in the Extended View bar and accessed via the Export to Excel menu/toolbar command, contains the following elements:

Project name Display

The name of the current project.

·

File name Field

The name of the file to be used for exporting the selected data.  This can be the name of an existing Excel file or of a new one, but a file name must be specified.  You can browse for a specific file using the Select file button.

NOTE:  The last selected file will automatically be entered in the field when the Export to Excel page is called up.

Append data Checkbox

Check this box if you want to add the exported data to the end of the specified Excel spreadsheet.  If left unchecked, the data exported from RC-WinTrans will replace the existing data.

Select file Button

Opens a dialog box where you can browse for a specific Excel spreadsheet to use for the export.

Export Button

Opens the Export Assistant to customize the export operation.

·

Close Excel Button

Closes the Microsoft Excel application (opened after a successful export operation).

Export Assistant

The Export Assistant lets you adjust the export options to suit your needs and select the target language(s) to be exported.  The Assistant has two pages: the Export Languages page and the Export Options page.

Export Language(s) Page

The Export Language(s) page presents all the target languages for the project so that you may select the one(s) for which the data will be exported.  The original source language will always be exported.  At least one target language must be selected in order to access the Export Options page via the Next button.

The primary elements of the Export Languages page are:

Project target language(s) List

A list of all the target languages contained in the translation project.  Select the desired language(s) for which the export is to be performed and click on the Add button (->) to add the language to the Export language(s) list.

Export language(s) List

A list of all the languages for which data will be exported.  The list can be modified with the Add (->) and Remove (<-) buttons.

Add (->) Button

Adds the target language(s) selected in the Project target language(s) list to the Export Languages list and removes them in the Target Languages list.

Remove (<-) Button

Removes the target language(s) selected in the Project target language(s) list and adds it (them) to the Export language(s) list.

Export Options Page

The Export Options page contains options (described further on) for the export operation as well as a preview of the designated Excel spreadsheet.  Start the export by clicking on the OK button.

The primary elements of the Export Options page are:

Export hotkey to a separate column Checkbox

If this option is selected the hotkeys of the original source language and all target languages to be exported will be exported in a separate column.  The hotkey will then be removed from the translation units (if present).

Export notes Checkbox

Select this option to export notes from all the export languages.  This information will appear in its own column in the spreadsheet.

Export state Checkbox

Selecting this option exports the states of the data for all the export languages.  This information will appear in its own column in the spreadsheet.

Export main resource name Checkbox

If this option is selected the main resource names of the translation units will be included in the export.

Export resource name Checkbox

Select this option to export the translation units' resource names.

Export resource type Checkbox

Select this option to include the resource types of the translation units in the export.

Export source file name Checkbox

Selecting this option includes the names of the translation units' source files in the exported information.

Preview Area

The preview provides an overview of the data to be exported.  If the Append option has been selected, the preview shows part of the Excel spreadsheet to which the new data will be appended.  If the Append option has not been selected, the preview will show part of the items selected in the Text Table view.

 

Changing the Order of the Columns:  If the Append option is not set the order of the columns can be changed.  To do so, click on the header of the column and move it (drag by holding down the primary mouse button while moving the mouse).

assigning Columns:  If the Append option is set, the Export Assistant tries to identify the headers in the existing Excel spreadsheet.  If this identification is successful the name of the column is displayed in the preview.  The text <skip> is shown in the column header when the column cannot be identified or when it is not relevant for the export.  To assign a column, right mouse-click on the header to open a local menu where you can select the correct value (Figure 6).

If one or more of the columns corresponding to the selected export options are not identified the export cannot be started.  In this case, selecting the OK button will cause the Export Assistant to prompt you to identify the required columns.  Identify the columns or change the selected export options to proceed.
